Ask an AI to 'write an Instagram caption for my bakery' and you will get something that could belong to any bakery, anywhere: cheerful, generic, and full of the same three emoji every other small business account is now using. Your customers can feel it, even if they cannot name it. The problem is not the tool; it is that you gave it nothing to sound like.
A brand voice is not a mood board, it is a handful of concrete facts a model can actually follow: who you are talking to, what tone you use, three words your brand is and three it is not, and a real example of something you wrote that sounds right. Write this once, save it, and paste it into every content conversation.
A voice brief you would actually use
'We are a family-run neighbourhood bakery. Our customers are local families and young professionals who want a treat, not a lecture on artisan technique. Tone: warm, a little playful, never formal. We ARE: friendly, specific, proud of our ingredients. We are NOT: corporate, apologetic, or full of exclamation points. Example of our voice: "Tuesday means fresh sourdough, straight out of the oven by 4pm. Come hungry."'
The second reason AI copy sounds hollow is that people ask for a format — 'write me a post' — instead of giving it something to say. A model with nothing to announce will invent filler. Tell it the actual news: what is new, what is on sale, what changed this week, and let it write around that.
Format plus substance
'[voice brief]. We are launching a Friday-only sourdough, limited to 20 loaves, $6 each, pre-order by Thursday 6pm via WhatsApp. Write 3 Instagram caption options: one straightforward announcement, one that creates urgency around the limited quantity, one that is just a short, punchy one-liner.'
The fastest way to a voice that actually sounds like you is not asking for a caption from nothing. It is writing a rough, honest first draft yourself and asking AI to tighten it. 'Here is my rough draft, keep every fact and the casual tone, just make it flow better and cut anything that drags' produces something closer to your voice than any generation-from-scratch prompt ever will.
